Organizational Units management

Abstract

Check out this article for an insight in the Organizational Units management functionalities and how to use them in your i4connected project.

This article describes the Organizational Units Management functionality from the Admin section of the i4connected portal.

The Organizational Units Management functionality allows the user to manage the existing Organizational Units, edit them or add new ones using the streamlined interface of the i4connected portal. It can be accessed through the dedicated tile, available in the Admin section of the i4connected portal.

Upon clicking the Organizational Unit tile in the Admin area, a new panel is opened, providing an overview of the existing i4connected Organizational Units.

The Organizational Units allow the user to execute the following operations:

Viewing, filtering and refreshing the list of Organizational Units

The Organizational Units panel lists all the existing Organizational Units. The Organizational Units are positioned in the panel's central area, as cards in a scrollable list.

Each Organizational Unit card displays the following details:

  • The Organizational Unit name.

  • A numeric label, representing the number Sub-Organizational Units, assigned to the current entity.

In this view the user can either select a specific Organizational Unit in detailed view mode Edit_mode.jpg or open the list of Sub-Organizational Units assigned to it View_mode.jpg.

Further on, this panel provides a filtering mechanism that helps the user to pinpoint the desired Organizational Units, by searching for the entity name.

By clicking the Reset filter button Reset_filter.jpg all the contents in the search field are removed and the filter is no longer applied.

The Refresh button from the top menu provides a manual way to reload/update this list.

Adding a new Organizational Unit

The Add button from the toolbar of the Organizational Units panel provides access to the Add organizational unit panel where the user can add new Organizational Units in the system.

To add a new Organizational Unit, the user must fill in at least the mandatory details (marked with a asterisk), as follows:

  • Name* - the name of the Organizational Unit.

  • Alias - the alias (friendly name) of the Organizational Unit.

  • Photo - the photo will represent the current Organizational Unit in thumbnails and tiles. The user can Browse for an image file or Clear the existing one.

  • Select customer* - the customer who owns the Organizational Unit. When the new Organizational Unit is added from the Customers Management section, this step is not required as the Organizational Unit is directly linked to the Customer that adds the Organizational Unit. By clicking the selection field, the Customers panel is opened allowing the user to select the owner Customer.

    Note

    As soon as the Customer selection is met, the field will be hidden from the Add Organizational Unit panel.

  • Organizational Unit subpage - a dedicated portal page which can provide access to all portal modules and tools, directly configured for this Organizational Unit. Clicking on the selection field, the Page List panel is opened allowing the user to select the page.

The validation system will notify the user if the provided information is not sufficient for creating the new Organizational Unit.

The bottom section of the Add Organizational Unit panel provides the options of saving the new Organizational Unit and closing the panel. Upon saving, the new Organizational Unit will be automatically displayed in the Organizational Units panel's list.

Viewing an Organizational Unit in detailed view mode

By selecting an Organizational Unit from the list view the detailed view mode panel is opened.

In this view, the general information upon the selected Organizational Unit is displayed as follows:

  • the Edit and Delete toolbar buttons

Managing the Organizational Unit's Users

The Users tile displays the number of users of the current Organizational Unit. Clicking this tile the Users panel is opened and displays all the assigned and inherited users, allowing the user to filter or refresh the list view.

The Users are displayed as cards in a scrollable list. Each user card displays the following details:

  • the addressing title

  • the first and last name

  • the username

  • the permissions set (Full)

  • the type - Assigned user or Inherited user

  • Email - by hovering the email.jpg button, the user email address is displayed. By clicking this button, the email application is opened allowing the user to send an email to the respective user.

By choice, an Administrator user can remove or add users to the Organizational Unit, by clicking the Change toolbar button. This action opens the Select Users panel where the toolbar options allow one to Select All, Unselect All and Refresh the list view. The already assigned users can be easily distinguished due to the green highlight.

Clicking the Select bottom button will apply the selection and the Select Users panel will be closed. The list of Organizational Unit Users will be immediately updated to reflect the latest changes.

Managing the Organizational Unit's Devices

The Devices tile displays the amount of Devices assigned to the current Organizational Unit. Clicking on this tile will open the Devices List panel, which is automatically filtered for all the devices of the current Organizational Unit and its Sub-organizational Units.

Managing the Organizational Unit's Measure aggregations

The Measure aggregations tile displays the number of aggregations assigned to the current Organizational Unit. Clicking on this tile the Measure aggregations panel is opened where all the assigned aggregations are displayed.

By clicking the Change toolbar button the Select Measure Aggregation panel is opened. In this view, the user can Select All, Unselect All and Refresh the list view. The already assigned aggregations can be easily distinguished due to the green highlight.

After finishing the selection process the user can click on the Select bottom button to apply the measure aggregations and close the panel. Any changes organised in this view will be immediately visible in the Organizational Unit Measure aggregations tile.

Managing the Sub-Organizational Units

The Sub-Organizational Units tile shows the number of Organizational Units that are part of the currently viewed parent Organizational Unit. The tile opens the Sub-Organizational Units panel, which lists the existing children.

Clicking on a Sub-Organizational Unit will open the Organizational Unit panel, where all the relevant and management options are available.

Note

Besides the parent-child subordination relation, both Organizational Units and Sub-Organizational Units have the same structure.

Clicking the right-side button of a Sub-Organizational Unit will open the list of sub-organizational units belonging to this sub-organizational unit.

Clicking the Add button from the top side menu, the Add organizational unit panel will open, allowing the user to add a new Sub-Organizational Unit child to the parent Organizational Unit.

Managing the Organizational Unit's Mappings

The Mappings tile shows the number of measure import mappings of the current Organizational Unit. The tile opens the Measure import mappings panel, which lists all the mappings of this Organizational Unit and allows the administrators to add new mappings or edit the existing ones.

The Measure Mappings are listed as cards displaying the Organizational Unit name, the Site name and the Group name.

Clicking on a mapping inside the list, the Edit mapping panel is opened allowing the users to change the Organizational Unit name, Site name and the Measures overview group. Additionally, the user can also decide to remove the selected mapping by clicking the Delete toolbar button and following the usual i4connected deletion process.

The Add button from the top side menu opens the Add mapping panel, allowing the user to create new measure import mappings for this Organizational Unit.

Managing the Organizational Unit's Measure Actions

The Measure Action Management tile displays the number of measure actions associated to this Organizational Unit. The tile opens the Measure action list panel allowing user to view, edit and add measure actions.

Selecting a Measure action from the list opens the Edit action panel. In this view, the user is allowed to update the action properties. Editing is organised directly in the Edit action panel and by means of Save button, the changes are kept and applied.

The Edit action panel also allows the user with possibility to remove the selected Action. By clicking the Delete button, the Delete Measure Action panel is opened where the user can confirm the operation by typing in the provided code.

By clicking the Add toolbar button from the Measure action list panel opens the Add Action panel.

The Add action panel features the following Action settings (the settings marked by an asterix are mandatory):

  • Name* - the name of the Action.

  • Action Id* - the identification number of the Action.

  • Action state* - the state is selected from the following options:

    • State 1 - the potential savings are identified.

    • State 2 - the potential savings are validated.

    • State 3 - the measure for achieving the potential savings is decided.

    • State 4 - the measure for achieving the potential savings is implemented.

    • State 5 - the savings achieved by the measure are confirmed.

    • State 9 - the measure is uneconomical or postponed.

  • Potential identified* - the potential identified date.

  • Date for Potential evaluated, Potential evaluated deadline, Measure identified, Measure identified deadline, Measure implemented, Measure implemented deadline, Measure assessment, Measure assessment deadline and Deadline.

  • Planned investment - the sum of everything the Organizational Unit intends to invest, including the additions it plans to add to its cache of capital goods and its stock.

  • Savings potential - the savings information for measures in stages 1 to 5.

  • Payback (years) - the payback period expressed in years.

  • Current situation - the measures for the current year.

  • Target situation - the target measures.

  • Notes - additional notes regarding the Measure Action.

  • Calculation notes - additional notes regarding the action calculation.

  • Mediums

  • Deferred - the expense / revenue amount that cannot be reported on the current income statement since it will be an expense or revenue of a future accounting period. This setting is

  • Deferral reason - the reason for the deferral.

Managing the Organizational Unit's KPI Cross-links

The KPI Cross-links tile displays the number of cross-links created for this Organizational Unit. The tile opens the KPI Cross-links panel allowing the user to view, edit and delete the existing cross-links and also add new ones.

The KPI Cross-links are displayed as cards providing the information upon the cross-links. Clicking on the KPI Cross-link card opens the Edit KPI Cross-link panel. In this view, the user can change the Linked KPI, the Target Organizational Unit and the Target KPI.

The Edit KPI Cross-link panel allows the user to remove it, by clicking the Delete toolbar button. The Delete KPI Cross-link panel will ask for a deletion confirmation, by typing in the provided code.

Managing the Organizational Unit's Shifts

The Shifts tile displays the number of shifts defined for the respective Organization Unit. Selecting this tile opens the OrgUnit shift list panel.

In this view the user is allowed to change the defined shift, to add new ones or to delete the existing ones.

Managing the Organizational Unit's Entity Variables

The Entity Variables tiles display the name, value and timestamp for each entity variable assigned to the current Organizational Unit. By clicking the entity variable tile, the selected Entity Variable panel is opened, where the user can organise further actions.

Editing an Organizational Unit

While in the detailed view mode of an Oganizational Unit the user can decide to update the general information of it, by clicking the Edit toolbar button. The Edit Organizational Unit panel allows the following edit options:

  • Name

  • Alias

Deleting an Organizational Unit

The Organizational Unit detailed view mode provides the user with the possibility to remove the Organizational Unit by clicking the Delete toolbar button.

In the Delete Organizational Unit panel the user is provided with information about the impact of the deletion over the whole system. To acknowledge the consequences and proceed with the deletion, the user has to type in the designated field, the displayed confirmation code. To proceed with the deletion, the user can press the Delete button, located at the bottom of the panel. Deletion is immediately visible, in the Organizational Units panel.
